Polling privacy

Etza GmbH controls this service for arranging ordinary professional meetings. Contact dpo@etza.eu for privacy questions, access, correction, deletion or an objection. Our company details identify the controller.

We process the poll title, choices, your chosen name, responses and any comments to arrange a meeting. Use a short name and avoid sensitive details. Participation and providing a contact email are optional. You can vote without an email.

An optional email is unverified, encrypted in the service database and visible only to the organizer through a private view and export. Other participants cannot see it. The organizer may contact you and send calendar invitations manually using their existing email system. This application sends no email. A forwarded poll link does not verify the sender or your identity.

We rely on our legitimate interest in coordinating professional meetings, subject to your right to object. We make no automated decisions or profiles.

Results default to organizer-only. A person holding a shared link can participate; an organizer can explicitly make results public. Treat private organizer links as passwords. Shared vote-edit links do not grant access to private contact details.

A poll lasts at most 21 calendar days and accepts at most 30 participants. Completed polls and their contacts are deleted 30 days after closure; abandoned drafts seven days after creation. Daily cleanup may add up to 24 hours. Encrypted backups are retained for 30 days and removed at the next successful daily cleanup. Minimal security metadata is retained at most 14 days; request bodies, email addresses and bearer URLs are excluded from application logs. A separate protected erasure record keeps only opaque record identifiers and timestamps for 60 days, so deletions can be reapplied after a restore.

Hetzner hosts the service and encrypted backups. We use necessary session cookies for access protection and CSRF checks, with a two-hour idle timeout. Your browser supplies its configured timezone locally; no location service, GPS, IP geolocation, third-party analytics or remote fonts are used. Optional browser storage features are controlled by the controls shown in the application.

In the same browser session you can correct or remove your private email using the link after voting. If that session is lost, contact us with the poll link and sufficient information to identify your response; we verify requests without disclosing other participants. Exported copies and manually sent invitations follow the organizer's separate retention duties.

You may request access, rectification, erasure or restriction, object to processing, and complain to the Austrian Data Protection Authority. We assess requests under the applicable GDPR conditions, normally within one month.
